Screenshot Inbox vs Caplio

The closest thing to a direct competitor. Browse-first rather than retrieval-first.

Checked against the current released version on 1 September 2026. If something here is out of date, please tell me and I'll correct it.

What Caplio does better

  • The same core idea, executed properly: watches a folder, indexes captures, extracts text with on-device Apple Vision.
  • Genuinely local — no uploads, no cloud OCR.
  • Timeline and category browsing, which is a pleasant way to work through a library visually.
  • Drag straight out into another app.
  • Handles general images, not only screenshots.

Browsing and retrieving are not the same interaction

Caplio is built around opening the app and looking through your library — a timeline, categories, a grid. That's a good experience when you want to browse.

Screenshot Inbox is built around never opening the app. The primary interaction is a global shortcut that puts a search field over whatever you're already doing: type a fragment, press Return, paste, carry on. You stay in the editor or the issue tracker you were in.

It's a small-sounding difference that changes when you reach for the tool. Browsing is something you decide to do; retrieval happens mid-task, when stopping to open an app is exactly the thing you won't do.

The other difference is the price shape. We think a local utility with no server behind it has nothing to justify a subscription.

Buy Caplio if

You want a visual library for images generally, not just screenshots, and browsing a timeline is how you prefer to find things.

Buy Screenshot Inbox if

You want retrieval without breaking flow, a one-time price, and the extra machinery around sensitive material — redaction, secret detection, an encryptable index.

The overlay opens over whatever app you're in. Type a fragment you half-remember, and the match is highlighted on the image itself — because the text inside the screenshot is real, indexed text.
